Biogen Program Manager (HR and Finance Operations) in Warsaw, Poland

The Program Manager (HR and Finance Operations) will be working closely with senior stakeholders in Biogen HQ in Switzerland and will be responsible, to ensure the process involving multiple functions (Functional Leads, Finance, Tax, Talent Acquisition, HR), to identify and manage locations of new and existing employees is executed consistently and in compliance with annual plan and company procedure in the Europe, Canada and Partner Market Region (ECP).

She/He will be accountable for executing the process, ensuring coordination and alignment with relevant parties and proposing continuous improvements. She/He will be the single point of contact for initial escalation and issue resolution for the Region. She/He will also partner with HR and Finance on managing the Headcount File and related activities that provide further granularity (and in a way that relates to our business structure) beyond what is available in Workday today.

Principal Accountabilities:

  1. Process ownership and coordination – ensure process involving multiple functions for identifying and managing locations of new and existing employees is executed consistently and in compliance with company procedures. Coordinate with key functions to assess location flexibility of roles as needed. Role is single point of contact for initial escalation and issue resolution.

  2. Project execution – manage project tasks, deliverables, communication and training related to implementing a change in the HR system(s), which enables the compliance of the process. Maintain the accuracy and completeness of certain data elements in Excel and/or HR system on an ongoing basis.

  3. Compliance of process – on a pre-defined basis, facilitate the process and run reports to enable audit reviews. Perform root cause analysis for any issues that may arise and drive correction of the process.

  4. Continuous improvement – identify, prioritize and execute improvements to the process. Work with relevant stakeholders to ensure alignment on any process changes.

  5. ECP Headcount File maintenance:

  • Support creation of FIG requests (affiliates and SWHQ), as well as support on entity cost center combinations for new employees.

  • Review Census and monitor Workday changes on a monthly basis and communicate and/or action corrections where applicable.

  • Remain in full control of positions approved and consider when exceptions occur, in order to keep track of all headcount variances.

  • Maintain regular open communication with affiliates on HC cost center moves.

  • Ad-hoc HC reports/slides to support our Corporate and Management Reporting.

  • Keep Temp employees’ list/positions approved at AOP for exceptional requests and potential monitoring.

  • 7-10 years’ experience in a similar role in HR, Finance, Operations and Project Management

  • Preferred Life-sciences/ bio-pharma experience

  • Strong project management skills; ability to clearly articulate/communicate progress at all levels of the organization, especially with senior stakeholders

  • Back-ground, project experience of location strategy and off-shoring analysis would be an asset

  • Excellent, clear and concise communication and presentation skills

  • Ability to analyze, translate and visualize data points/sources in a transparent manner to senior leaders. Ability to present business structure, headcount changes, location flexibility and location models in a growing and changing organization

  • Ability to work in ambiguous, fast-paced environment
