Job Functions/Responsibilities

  • Research property and owner information using CoStar, BS&A, and misc. internet searches depending on the property to obtain relevant information

  • Create presentation books for broker review/revision including: Client Tour books, Overviews, PowerPoint presentations, etc.

  • Prepare and send correspondence (letters, memos, emails) on behalf of the broker to clients and associates

  • Prepare documents including: LOIs, Proposals, Agreements (lease, purchase and listing), New Listing Forms, Completed Transaction Forms, Listing Extension Letters, Building Comparison Matrix and Charts, etc.

  • Serve as a lead on work requests that may involve other departments or team members to ensure work gets completed timely

  • Work within our CRM (Microsoft Dynamics) update client information, opportunities and generate reports as needed

  • Work within our Team Ticketing system (Zendesk) to take, track and complete work requests

  • Generate listing activity reports for review with broker and client

  • Schedule and coordinate broker/client appointments

  • Troubleshoot computer and office equipment issues; create technical support tickets as needed

  • Arrange personal and business travel for CEO and family – includes airline, hotel, dinner, car, reservations and all changes as applicable

  • Schedule and process personal appointments and transactions for CEO and family which may include running occasional misc. errands

  • Coordinate and plan holiday cards, client gifts, and food for meetings

  • General office duties including: scan, fax, copy, print, file documents, mail distribution, maintenance of supply and coffee inventories and public work areas, file (electronic & hardcopy) maintenance, field calls for brokers,

  • Prepare and receive UPS/Fed Ex packages

  • Provide backup phone support/front desk duties for lunch breaks and in the absence of Sr. Client Service Rep/Receptionist

  • Other administrative and general office duties as assigned based on the current workload


  • Associates Degree with 2-3 years of experience in an office setting supporting multiple executives, sales representatives, or managers, OR a commensurate combination of experience and education

  • Commercial real estate experience in a brokerage environment is helpful

  • Advanced proficiency in Adobe Acrobat, Internet search engines, Microsoft Office (Word, Excel, Outlook, Publisher, SharePoint, OneDrive, Teams, PowerPoint)

  • Intermediate proficiency in CRM systems such as Salesforce or MS Dynamics

  • Excellent communication skills – ability to communicate accurately and clearly both verbally and in writing

  • Ability to prioritize projects and strong problem solving skills

  • Customer service oriented “can do” approach to work
