Elon University Executive Assistant to the Vice President for University Advancement in United States
Summary Of Position:
This position provides executive support to the Vice President and Associate Vice President for University Advancement at Elon University. The executive assistant coordinates all activities of the office of the Vice President by maintaining a high awareness of all key activities within the division. The executive assistant is an excellent communicator, has a broad understanding of fundraising, has an ability to work independently, works under pressure at times, and maintains a high degree of confidentiality.
Bachelor’s degree preferred
Special Skills Or Experience:
Experience using Microsoft Office software, specifically Word, Excel, and PowerPoint. Experience with Raiser’s Edge software is desirable.
Full Time/Part Time: Full-Time Regular
Length Of Experience:
Minimum of 5 years experience in an administrative support role.
Essential Duties and Responsibilities:
Assists the Vice President in conducting day-to-day operations of the university advancement division, including preparation for meetings, multi-media presentations, scheduling and organizing meetings and event, entering data and executing reports in constituent database (Raiser’s Edge NXT).
Maintains the Vice President and Associate Vice President’s calendar of appointments.
Assists the Vice President with the Board of Trustees Advancement and Alumni Committees. Helps prepare meeting materials and takes minutes. Transcribes minutes for approval by the Vice President and provides copy to the secretary to the Board of Trustees.
Leads the effort to provide accurate and timely briefing materials for the President, Vice President and other key university academic and administrative leaders in support of travel and university advancement events • Coordinates and prepares travel information, including: o Detailed and often complex agendas o Confidential donor profiles o Lists of event attendees o Event details; event run-of-show, remarks o Preparation of travel arrangements o Follow-up “after-actions” for the Vice President and President
In coordination with staff in the Office of the President, maintains a schedule of Presidential events and travel. Manages office deadlines to ensure meeting preparation is on time and reviewed for accuracy.
Proof-reads executive level correspondence prepared for President’s and Vice President’s signatures. Assists in the process of documenting financial commitments from donors to the university.
Organizes and often participates in key meetings of staff, including weekly meetings, retreats and other special gatherings.
Enters executive report summaries into Raiser’s Edge.
Tracks and reports monthly budget-related activities and expenses of the Office of the Vice President.
Maintains organizational chart for University Advancement and updates relevant university offices.
Maintains university advancement list serves and shared drive access.
Maintains subscription key renewals and memberships for University Advancement.
Other duties as assigned.
