The Risk Management Administrative Assistant. Provide general administrative support for the Risk Management department including in-House counsel and risk managers. This position will assist in the administration of insurance at the project and corporate level on all active and ongoing construction projects. Additionally, this position will support the database and workflow of new claims management software, digitizing certificates, establishing workflows for securing claim prevention site documents and certificates of substantial completion.
Assist with general insurance needs including requesting insurance policies and certificates from outside parties, providing insurance certificates to outside parties, and completing application and request forms as assigned.
Track project expiration dates and establish calendar system for new projects and third-party certificates; adjust calendar dates as project needs develop.
Assist with invoice processing; monitor legal email inbox for new invoices, secure Risk Management team approval, and authorize invoices for payment.
Timely assistance with marketing requests for basic insurance and bondability letters.
Scan contracts & insurance policies; maintain Access database for new insurance policies.
Maintain digital job files for projects and incidents and assist with e-filing, project insurance closeout, document control, and support builders risk/ CCIP coverage closeouts.
Initiate SDI reviews and reports as assigned.
Provide timely and complete responses to inquiries from subcontractors and suppliers with respect to bond requests and CCIP enrollments.
Assist with insurance enrollments including supporting subcontractors and sub-tier subcontractors with the enrollment process, data entry, and entering data in project logs.
Additional duties as assigned, relative to insurance needs and support of the Risk Management department.
ESSENTIAL PHYSICAL FUNCTIONS:
Standing/Walking/Sitting: Workday is a combination of standing, walking and sitting.
Legs: Must be able to climb stairs - 5% of day.
Hands/Arms: Constant use of hands/fingers for mouse/keyboard/computer use.
Vision: Visual acuity in near, mid, and far-range vision. Color vision, peripheral vision, depth perception, hand/eye coordination.
Hearing: Sufficient to hear conversational levels in person and over the telephone.
Speech: Sufficient to make oneself heard in person, speak in front of groups, and be understood over the telephone.
Lift/Carry: Up to 35lb - Minimal.

Must be able to work independently, make decisions, and follow through on all assignments
Must use creativity, independent judgment, and organizational and problem-solving skills to determine best method to accomplish desired results

Must possess strong organizational and computer use skills and have a high level of competency to read/write/speak English, and communicate with coworkers
QUALIFICATIONS, SKILLS AND ABILITIES:
Bachelors degree required.
Experience in the construction industry is preferred.
Experience working with insurance policies, certificates and bonds preferred.
Must have a working knowledge of basic software; Windows, all Microsoft Office applications: Word, Access, Excel, Outlook, PowerPoint, Publisher, MS Teams and a general understanding of working within a computer network.
Ability to communicate effectively with teammates and various levels of management as well as external contacts.
Receive and maintain confidential and sensitive information.
Excellent organizational and administrative skills.
Strong written, verbal, and electronic communication skills.
Must conduct oneself in a professional manner at all times.
Detail orientated with the ability to effectively prioritize duties and multitask.
Must be a strong team player, self-starter, flexible, and be able to work well with a variety of personalities and minimal instruction.
