We're looking for a Payroll and Benefits Administrator to join our growing team.
The Payroll and Benefits Administrator will lead our payroll function and maintain our benefits for both Canada and the US. You will ensure compliance with applicable laws and payroll tax obligations. A big part of your job will be to work with the Payroll Coordinator and liaise with other stakeholders on our payroll processes.
Manages and ensures timely and accurate processing of the bi-weekly payroll for salaried, hourly and seasonal employees in Canada and the US
Along with the Payroll Coordinator, ensures all departments have their payroll hours and follows up as needed
Works closely with our payroll provider, Payroll Guardian (PGi) to prepare employee payments for electronic funds transfer or cheque
Ensures compliance with relevant laws and internal policies
Continuously reviews and works to improve systems to process timekeeping and payroll transactions
Liaise closely with Accounting department to ensure accurate costing of payroll
Partners with Human Resources to ensure accurate and timely processing of new hires, terminations, ROE's, merit increases and profit share.
Sets up, trains and assists Site Managers to resolves time entry issues
Answers employee questions about payments, resolves payroll issues or inquiries in a timely manner which includes developing FAQ's, reference guides, training and communication tools
Acts as a mentor to the Payroll Coordinator, providing guidance and direction
Performs monthly payroll audit and balance to the general ledger
Responsible for administration of benefits and remittance of premiums
Enrolls employees on benefits plan
Benefits onboarding of new employees, provides training on benefits plan and reimbursement process
Works with benefits providers to educate employees on new process and procedures, provides updates and useful tools
Handles benefit remittances, enrollments, liaising with benefits provider
Conducts annual benefits review, reporting on usage, best plans, options and rates
Addresses and responds to employee inquiries
Maintains vacation and personal day reporting, provides quarterly updates to employees and group managers
Ad hoc reporting, trend analysis and metrics as required
Runs reports and submits payment for US payroll taxes (UI, WCB, local state taxes, IRS, etc)
Submits monthly or quarterly reports and payments to workers compensation boards
Year-end reconciliation and T4/W2 tax preparation
detail-orientated and have great attention to detail, with strong analytical and numerical skills to ensure accuracy of information;
flexible and adaptable, adjusting quickly to changing situations; due to the seasonal nature of the business, payroll numbers can fluctuate from 150+ to over 1500+ in the summer;
a strong communicator – able to convey complex payroll transactions to employees and effectively answer and address questions from all levels of the organization;
someone that takes initiative and takes charge of situations;
a team player – who cares about the impact of your work, jumps in to help when needed and is able to connect with colleagues
Minimum of 3 years of related payroll experience, working with a high volume of employee transactions in multi locations
Some post-secondary education in Payroll, Accounting or related field; professional certification (PCP) and asset
Experience with payroll systems (Payroll Guardian PGi an asset)
Working knowledge of payroll procedures and related laws; Employment Standards, Workers Compensation, Employment Insurance, taxation and benefits
Knowledge of US payroll an asset
Familiarity with payroll systems and MS Office, particularly Excel
An analytical mind with good math skills
Some weekend work may be required for this position, from mid-June to August
