Pharmaceutical Meetings Management is one of the fastest growing capabilities. The Specialist role in the Events & Meetings team proactively ensures that the needs of the business are met through strong, engaged collaboration with our Healthcare Professionals (HCPs), Commercial and Medical colleagues. They are an expert on the end to end Health Care professional transactions and meetings management process. Close alignment to the Commercial Business within the local market is crucial in addition to supporting training and resources specific to Meetings Management across the multi-disciplinary team. The Specialist will be expected to support the implementation of key projects associated with the Events and Meetings Management Centre of Expertise (EMCoE) team and lead on smaller scale projects where appropriate. The role will provide multiple opportunities for process simplification, innovation, and personal development.

Efficient meetings management and speed with HCP payments by the EMCoE team will enable incremental business performance through empowerment of the team to simplify processes, technologies and develop local innovative solutions that will enhance the overall customer experience (both internal and external) at BMS meetings and events. By demonstrating a strong value proposition to the Commercial business EMCoE will be able to deliver sustained long-term operational cost savings without compromising efficiency.

MAJOR DUTIES AND RESPONSIBILITIES

  • Acts as an expert facilitator of Meetings & Events with respect to Health Care professionals;

  • Venue contracting and coordination of invitations

  • Travel logistics

  • HCP/HCO, 3party vendor PO creation

  • Payment request for HCP/HCO

  • Contract generates via macro

  • Filing Document

  • MSA/SOW contract maintain and upload in System

  • Vendor creation (ICF form) and maintain

  • Service provider maintain/update in EM system

  • Speaker Pool Management

  • Update PO status monthly (over 90 days PO haven’t been closed, the system will send to requisitioned checking if the PO can be closed or not)

  • Conduct trainings to event owners

  • Analyse the volumes of events and service providers and provide guidance to related team to operate/plan

KNOWLEDGE, SKILLS, and COMPETENCIES:

Education/Experience

  • Bachelor’s Degree in a business-related field is preferred (i.e. Marketing, Finance, International Business)

  • Familiarity with the healthcare industry and its business processes; in industry, preferably health care industry

  • Insight and experience of having worked in a sales/marketing environment or experience in a commercial customer facing role with a minimum of 2-3 years’ experience

  • Prior experience in management or internal consulting is a plus

  • Experience in Contracting, HCP Payments, Event Management in the HCP transactions area

  • Understanding of corporate infrastructure and deployment methodologies in order to drive continuous improvement

Functional / Technical

  • Demonstrated ability to work independently and effectively in an internal and external matrix environment, with strong interpersonal and influencing skills

  • Strong written and verbal communication to facilitate relationships with peers and management

  • Proficiency in English (writing/reading/speaking) is preferred

  • Demonstrated ability to assess and analyse, escalate where appropriate and promptly resolve problems

  • Demonstrated ability to effectively manage own workload in line with business needs

  • Proven ability to demonstrate an innovative mind-set, including simplification of processes

  • Ability to maintain the highest standards of quality, compliance and accountability when advising the business

  • Demonstrable ability to engage with a range of business units and functions and uncover their objectives and needs

  • Excellent in multitask, facilitation, communication, and organizing skills

  • Solid team player as well as independent thinker

  • Ability to work autonomously

  • Experience using Veeva, Cvent, Ariba is preferred
