Overview:JOB SUMMARY: To ensure corporate compliance with Federal, state, and local regulatory registrations, licensing, and annual reporting. Advising management on necessary steps for adding new location for Company routes relating to regulatory compliance, vehicle onboarding, and route support tools such as pcards.

Job Description:

KEY ROLES and RESPONSIBILITIES: Cash Management and Application

  • Deposit and journalize all miscellaneous cash

  • Back up initiator for wire transfers and account transfers

  • Back up for House Route AR Clerks


  • State and Local licensing and reporting.

  • Requires researching state, county and city websites to identify each jurisdictional department involved.

  • Research and determine what licenses and registrations are required.

  • Responsible for annual filings, fictitious name renewals, and business license renewals for all jurisdictions.


  • Responsible for compliance with FMCSA rules and regs.

  • Keep current with changes.

  • Ensure company routes are within guidelines.

  • Responsible for USDOT audits.

  • File annual updates with FMCSA and UCR

  • FDA and USDA.

  • Responsible for registering and updating route information with the FDA and USDA.

  • File biennial reports online.


  • Submit claims (exception – WC) to insurance and follow claim from inception to closure working with adjuster to ensure best outcome. Oversee separate WC program for Ohio and State of Washington; reporting payroll and paying premiums.

  • Keep accurate spreadsheets of all invoices paid to insurance carriers.

  • Maintain distributor insurance files and review for compliance.

  • Approve certificates of insurance for compliance with Company requirements for new distributors.

Card Programs

  • P-Card program.

  • Analyze spend by pulling bank reports.

  • Follow-up with cardholders for transaction backup; submit account-coded transaction report to AP along with invoices.

Company Routes

  • Ongoing communication with project manager and on-sight employee as to process, progress and start dates in specific localities as licenses become valid.

  • Responsible for qualifying and registering new entities to do business in new states and localities.

  • Analyze, understand, and accurately complete all forms with required detailed and sensitive information

  • Determine fees based on sales or purchase projections

  • Request checks for associated fees

  • Send all documents and backup proofs to the appropriate agencies

  • Coordinate the timeline for filings as required by appropriate governing agencies. Includes SIT and SUI, adding to Boar’s Head insurance policy, and setup with ADP.

  • Assist in the purchase and administration of truck including, registration, contacting local sheriff or highway patrol for specific local requirements such as door lettering, etc.


  • Process and approve reimbursement for employee cost of selling or buying a home.

  • Analyze Good Faith Estimates and closing statements to determine expenses eligible for reimbursement, based on Company Relo policy.

  • Approve payment and give to payroll.

  • Communicate the total amount allowed with employee, advising them to submit final closing papers for comparison to estimate. Respond to employee questions as needed.


Responsible for Company truck fleet and vehicles including acquisition paperwork, registrations, titles and insurance.

  • Maintain centralized vehicle folders for all locations.

  • Safeguard all company vehicle titles.

  • Ensure all vehicle registrations are current.

  • Provide updated reports to insurance company and auditors.

Maintain D&B subscriptions for BH, FB, & DSC; monitoring of D&B services and alerts; reviewing for rating changes. Procure mail machines for all locations.

  • Respond to requests for adding postage and monitor usage.

Process various credit application requests. Enter all new vendor information into Oracle. Manage office supplies.


Ability to analyze, manage, guide and direct issues. Ability to contribute to and coordinate with upper management on confidential and legal matters and special projects. Ability to read and understand complex documents in order to determine appropriate actions. Ability to research regulatory issues, such as tax reporting and state licensing requirements. Detail oriented, self-starter with a strong sense of ownership of the position. Ability to handle deadlines and multiple priorities in a dynamic high volume environment.JOB REQUIREMENTS / SKILLS / EDUCATION:BS in Finance, Management, Insurance or other related discipline desired. Minimum 1 – 3 years relevant experience. Must have high degree of PC literacy, particularly Microsoft Word and Excel, ability to learn specialized database software. Must possess proven organizational skills and the ability to handle multiple projects simultaneously. Requires tact and diplomacy and poise under pressure.
