Function of position:

  • The secretary provides comprehensive secretarial support for the Department Chair and performs a variety of office management duties for the Department of Health & Physical Education faculty. Works collaboratively within the Division of STEM and Health.

Responsibilities and Duties:

  • Provides office, telephone and email coverage.

  • Refers inquiries to faculty and staff members or other departments as appropriate.

  • Interacts with students on issues with registration, advisement, questions and issues.

  • Transmits administrative directives and policies throughout the department

  • Acts as the department receptionist.

  • Utilizes the college computer system (Internet, Banner Self-Service) to input/monitor faculty workload data, retrieve student records and course information as needed.

  • Prepares materials and correspondence for advising events and priority registration activities.

  • Assists in the annual budget and monitors departmental expenditures.

  • Prepares all requisitions and purchase orders.

  • Purchases office and departmental supplies; tracks inventories and submits reorders as necessary.

  • Maintains files on American Red Cross certifications. Prepares check request for payment of authorized provider fees associated with various CPR related classes.

  • Coordinates DASA training certification classes and reports results to NYS.

  • Composes and types routine correspondence and reports.

  • Types minutes and proceedings of meetings and conferences.

  • Maintains and establishes confidential and general office files.

  • Schedules use of departmental facilities.

  • Serves as scheduler for locker room attendants, Human Performance Lab and student aides.

  • Provides other duties as assigned by Chair.

  • Must have the ability to deal effectively with the public with tact, courtesy and good judgment in handling confidential material.

  • Thorough knowledge of office terminology, practices and procedures; good knowledge of English grammar and usage; good office management techniques; working knowledge of first line supervision; record keeping ability as well as operate a variety of office equipment. Use a personal computer as well as ability to complete complex clerical assignments independently. Ability to compose business correspondence and written reports. Prioritize workload in accordance with supervisor's priorities; proofread for spelling, grammar, punctuation, sense and consistency. Review, prioritize and take action on supervisor's mail as appropriate. Establish and maintain a filing system; understand, follow and interpret oral and written directions.

    Job Requirements:

Required Qualifications:

  • Must currently hold the Monroe County civil service title of Secretary II or be on the current eligible list for this title.

  • Must be a Monroe County resident.

Preferred Qualifications:

  • Graduation from high school or equivalent, college degree preferred.

  • Bilingual and able to read, write, and speak Spanish proficiently.

Job Type: Full- time, Permanent

Hours: 8:45am-4:45pm
