Position: Customer Service Specialist

We are looking for a Customer Service/Order Entry Representative responsible for placing and expediting customer orders. This is not a call center job, and there is minimal interaction on the phone. Generally, you will receive orders via email, fax or EDI (electronically). This position reports to the Customer Service Supervisor.


  • Keeps customer informed of shipping dates, delays and stock availability issues

  • Follow up with customer, by answering questions and responding to requests

Order Processing:

  • Review incoming orders for correct pricing

  • Apply promotional deals

  • Weight requirements met

  • Proper shipping lead time

  • Record top line information in CSR notebook

  • Inform customer of receipt

  • Enter order in GenWeb system

  • Transmit to Vendor / Confirm it was received.

  • Respond to email inquiries and follow up as needed.

  • Handle high volume of emails on a daily basis.


  • Reconcile vendor invoices as a secondary responsibility (Assist as needed)

Database Maintenance:

  • Maintain product and pricing information in GenWeb system

  • Post notes or comments pertaining to orders in GenWeb

  • Discontinued item notification

Clerical Responsibilities:

  • File customer purchase orders and invoices weekly

  • Check fax machine for incoming orders daily

  • Answer the phones

Job Specifications:

  • High School graduate or higher degree

  • Computer skills and knowledge of relevant software

  • Knowledge of operation of standard office equipment

  • Knowledge of clerical and administrative procedures and systems such as filing and record keeping

  • Communication skills – written and verbal

  • Planning and organizing

  • Prioritizing

  • Problem assessment and problem solving

  • Information gathering and information monitoring

  • Attention to detail and accuracy

  • Flexibility & Adaptability

  • Customer service orientation

  • Able to work in a team environment
