Summary The position of an Administrative Assistant is primarily responsible for providing administrative support to ensure efficient operation of the office. It is a full time role and benefits eligible. This position supports managers and employees through a variety of tasks related to organization and communication. The ideal candidate possesses the proven ability to professionally interact with customers, vendors, job applicants and other visitors. The Administrative Assistant is also responsible for directing visitors by maintaining employee and department directories and maintaining facility security by following procedures, monitoring visitor logbook, and issuing visitor badges. Job Responsibilities Greet clients and visitors with a positive, helpful attitude, and provide general support to visitors in a professional manner Letting employees know when a guest/client/vendor/candidate has arrived Helping maintain workplace security by issuing, checking and collecting badges as necessary and maintaining visitor logs Assisting with a variety of administrative tasks including copying, faxing, and distribution of weekly reports Preparing meeting and training rooms, and ensuring that they are clean and that supplies are mainlined in good order Answering phones in a professional manner and routing calls as necessary Assisting colleagues with administrative task and performing ad-hoc administrative duties Sorting and distributing mail, including customer invoices Provide excellent customer service Coordinate lunches for company meetings and external guests Produce and distribute correspondence memos, letters, faxes and forms Order office supplies Book travel arrangements for company staff and incoming guests Submit and reconcile expense reports. Supporting Human Resources, Quoting department, and Project Management with administrative projects and duties. Requirements High school diploma and experience as an administrative assistant or a college degree equivalent Demonstrated ability to work independently Excellent written and verbal communication skills Competency in Microsoft applications including Word, Excel, and Outlook Experience with administrative and administrative procedures Able to contribute positively as part of a team, helping out with various tasks as required Physical/Mental Requirements: The physical demands described herein are representative of those that must be met by an employee to successfully perform the essential functions of the job.
