American Express Executive Assistant in New York, New York


American Express Investor Relations (IR) acts as a liaison between the Company and the financial community. The group’s mission is to maximize the fair valuation of American Express Company, and its access to the capital markets, by effectively providing the investment community with information about the Company's strategies, objectives and performance, and by enhancing Company management's understanding of the investment community's views and industry peer performance.

The Executive Assistant will provide administrative support to the SVP and VP on the Investor Relations team and play a key role in supporting the Investor Relations function for AXP. The EA should be a dynamic individual who is proactive in anticipating and adapting to the needs of the IR team and is focused on accuracy, flexibility and attention to detail. The ideal candidate must be experienced in handling a wide range of administrative-related tasks and be able to work in a fast-paced organization, managing multiple deliverables and competing priorities. Critical to the success of this position are strong communication skills, a team-player attitude and the ability to develop positive working relationships with a wide range of colleagues both within and outside of American Express. This is a unique opportunity to interact with the external investment community and senior management offices at AXP.

Key Responsibilities:

  • Internal calendar management, including the coordination of complex meetings and events with internal senior leaders and external stakeholders

  • Support the IR team with external meetings and conference with the financial community, including scheduling, logistics, attendance tracking and uploading meeting minutes to IR’s Nasdaq platform

  • Maintain financial community email distribution lists

  • Respond to inquiries from the IR email inbox and phone line

  • Prepare, review, and process expense reports, and ensure T&E is in line with company policy and budget

  • Process contract invoices and purchase orders in Ariba

  • Support compliance requirements related to Business Continuity Planning

  • Booking and coordinating travel arrangements

  • Support other admin responsibilities: ordering supplies, maintaining team org chart, and ad-hoc projects

  • Build relationships with key partners across the company, including CEO/CFO offices, Corporate Planning and Analysis, General Counsel’s Office, External Reporting, and Corporate Communications.


  • Excellent organizational, administrative, and interpersonal skills

  • Strong organizational skills and attention to detail with timely follow-up.

  • Reliable individual with excellent communication (oral, written, listening) skills, a positive attitude and solution-oriented demeanor.

  • Strong sense of integrity with ability to handle confidential and sensitive information with discretion

  • Ability to prioritize multiple tasks with minimal guidance and to proactively identify and resolve issues

  • Strong calendar management expertise and a working knowledge of common administrative systems and processes e.g., purchasing, travel, expense management

  • Proficiency in Microsoft outlook and Microsoft Office, including Word, Excel and PowerPoint. Strong working knowledge of virtual meeting tools and platforms preferred.

  • Proactive in anticipating needs of stakeholders and responsive to requests in a timely, efficient manner. Proven experience working in a fast-paced, dynamic environment.
