RBC Senior Administrative Assistant in Minneapolis, Minnesota

What is the opportunity? We are looking for an experienced Administrative Assistant to provide executive support for our US Wealth Management business. Review incoming mail and organize correspondence needing direct attention. Answer and/or draft responses to routine mail; if applicable, route to other company employees for response. Accurately and promptly type various correspondence, reports, memos and other materials from copy, dictation or verbal instructions, as assigned. Compose letters from spoken instructions or brief notes. Ensure typed material is neat, accurate and grammatically correct. Maintain calendar(s), arrange meetings, conferences and other appointments when requested, including working with outside vendors. Make arrangements for business (and possibly personal) travel, including all air, hotel and transportation arrangements. Prepare detailed travel itinerary to include any necessary background materials for trip. Make travel arrangements for visiting clients or potential employees when requested. Prepare expense reports accurately and promptly. Keep a record of expenses reimbursed. Maintain efficient filing system of correspondence and records in a timely manner to ensure efficiency and retrieval of important data. Answer telephone in a courteous, businesslike manner and promptly and accurately handle messages. Review and respond to voice mail and/or electronic messages when requested. Have knowledge and ability to refer callers to appropriate individual for response when necessary or in the executive s absence. Handle confidential matters with discretion and good judgment; maintain confidentiality of all matters ascertained by reason of access to such information in this position. What do you need to succeed? Must-have 3+ years of director-level secretarial experience, with demonstrated ability to multitask; excellent organizational skills; and ability to prioritize work assignments independently Extensive experience in managing detailed executive travel arrangements (flights, cars, itineraries, maps, etc.) as well as calendar management experience using Microsoft Outlook Experience managing communication channels for Directors and Executives across the organization (phone, mail, email, etc.) Excellent written and oral communication skills; knowledgeable of rules of grammar, punctuation and spelling. Excellent interpersonal skills allowing effective and professional Experience using Microsoft PowerPoint to prepare Executive presentations with expert level skills in Microsoft Word and Excel Nice-to-have Ability to type 70-75 wpm with a high degree of accuracy Experience using Microsoft PowerPoint to prepare Executive presentations What s in it for you?
