Job Accountabilities:

  • Greets a high volume of visitors; provides specialized information and/or routes visitors to appropriate staff member; maintains highest quality of customer service

  • Answers telephones, routes callers, takes messages and provides specialized information to clientele

  • Answers high volume of email inquiries

  • Determines need and urgency of inquiries and directs clientele to the appropriate campus resource or OIS staff member

  • Designated School Official (DSO) for Department of Homeland Security’s SEVIS immigration database

  • Processes immigration documents for employment and travel purposes

  • Provides ‘on the spot’ advising regarding immigration regulations and related USC policies to students, scholars, staff and faculty

  • Uses discretion and independent judgment when fielding complex immigration related inquiries from students, scholars, staff and faculty

  • Updates SEVIS and Ellucian databases with student information required for university compliance with USCIS regulations

  • Provides leadership, guidance and direction to student workers in the delivery of customer service and data entry

  • Prepares official letters and documents required by Department of Motor Vehicles, Social Security Administration, U.S. or foreign governments and agencies

  • Stays up to date with current immigration regulations and USC policy, which may affect the legal status of international students and scholars and their families

  • Accepts and reviews student, scholar and departmental applications for completeness and accuracy

  • Maintains appointment calendars for 15 professional staff; schedules and confirms meetings and provides assistance in the day-to-day administration of the department

  • Opens the office each day at 8:30am; keeps reception area neat and organized; maintains professional appearance of lobby

  • Verifies registration in SIS, removes holds so that students may register for classes

  • Maintains office supply inventory

  • Compiles data for special projects; maintains log of types of visits and inquiries to the office

  • Participates in periodic revisions of applications, office forms, and documents

Minimum Qualifications:

  • Associates degree

  • 2 years of customer service experience

Preferred Qualifications:

  • Bachelor's degree

  • 3 years of administrative experience in a university environment, preferably in international services

The Office of International Services (OIS) supports USC’s international students and scholars as they strive to achieve their educational, professional, and personal objectives. OIS is a resource center that provides advising, information, and opportunities for involvement to help members of the USC international community make the most of their USC experience. Recognizing the many benefits of international educational exchange, OIS advocates for these benefits on campus, locally and nationally.

The Intake Coordinator is responsible for handling all initial inquiries to the office in person, by phone and email, and is often the first OIS staff member students and scholars encounter. The intake coordinator assesses the needs and urgency of requests, explains basic immigration regulations and USC policy, processes immigration documents, schedules appointments for 15 fulltime staff, makes sure that all required information is received and processed, reviews applications for accuracy, directs the flow of immigration related application requests and maintains records of document flow.

The successful candidate will have experience working in a fast-paced office environment, possess strong communication, organizational and record-keeping skills and have the ability to learn a large volume of information quickly and communicate information to our clientele. The intake coordinator must have the time-management and multitasking skills necessary to perform a variety of duties concurrently. Cross-cultural communication skills and experience is highly desirable.
