The Facilities Project Manager will plan and schedule maintenance for all facility equipment and systems using CMMS (Computerized Maintenance Management System) for work order management, data collection and reporting. Also responsible for maintaining the Work Order System and documentation related to equipment history. The individual will work closely with the Facilities Manager, maintenance and production supervisors to coordinate maintenance work required. The primary function of the Facilities Project Manager is to improve the maintenance work force productivity and work quality by anticipating and eliminating potential delays through planning and coordination of labor, parts, material, and equipment availability.
Collaborate with maintenance supervisor, outside contractors, production supervisors, and production scheduling regarding projects coordination and preventive and planned maintenance activities.
Manage projects relating to Facilities, including being responsible for initial screening of incoming work orders, identification of scope, and analysis of required level of planning.
Identifies required technical skills to perform maintenance tasks.
Determines and arranges for parts required to perform the work; arrange for special tools and equipment.
Coordinates priority setting with the management team- places specific emphasis on obtaining the input of operations personnel in the setting of priorities.
Manages relationships with external partners/vendors, such as the cleaning, security, and HVAC contractors and service providers, and review contracts annually.
Optimizes maintenance inventory by balancing work load to labor availability. Procure parts, services, and equipment when needed.
Partner with Procurement to receive multiple bids for service contracts.
Complies with all client CMMS standards and specifications to ensure database integrity and standardization.
Manages asset maintenance parts ordering process (MRO) for assigned team(s) and optimizes efforts through PM Auto ordering where applicable.
Manage all aspects of site fire protection system testing, inspection, and maintenance, as well as site sewer, plumbing, and electrical issues.
Coordinates timely and safe completion of all maintenance work performed by contractors
Continuous improvement of the work planning process through the review and use of maintenance metrics, analysis of work order flow, project demands and expectations.
Assist Maintenance staff with compiling monthly KPI metrics and data for meetings and continuous improvement safety reporting.
May require hands on work as needed to support department goals.
Complexity of Duties:
Works under general direction. Must be capable of working independently and as a team player. Work is reviewed for overall adequacy and accuracy in meeting objectives. Must be able to set direction for daily work in the absence of the supervisor.
Must possess thorough understanding of scheduling and planning functions as well as a solid understanding of a manufacturing environment.
Ability to provide solutions to a wide variety of problems and use sound judgment in decision-making processes. Failure to do so may cause delays in program schedules and result in the allocation of additional resources.
Ability to interact well at all levels of the organization. Ability to act as a liaison between Maintenance, Manufacturing and other departments as necessary.
Must be able to represent the organization regarding specific issues or projects as necessary.
Must be able to understand and develop key maintenance metrics for reporting and presenting maintenance team / manufacturing and Executives team
Education and/or Experience:
Bachelor’s degree or relevant experience
3-5 years of experience in mechanical and equipment maintenance or relevant experience
3-5 years working in manufacturing industry preferred
Experience with CMMS and Microsoft Office programs required
Job experience – Electrical/Mechanical aptitude preferred
Other Skills and Abilities:
Ability to communicate well in both oral and written reports and have excellent customer service skills.
Ability to frequently walk up and down stairs for inspections and emergency procedure practice or implementation.
Building inspections require getting on hands and knees to reach areas difficult to access.
Ability to negotiate for best pricing and availability
Able to efficiently perform internet searches and research
Able to read and interpret vendor manuals and drawings
Able to perform some level of cost analysis and work within a structured budget
