Summary: Responsible for following the required daily processes for clients as outlined in the Flexent procedures manual to ensure the receipt of proper documentation, invoice verification, funding and payment application as well as ongoing account monitoring & risk assessment, reporting and reserve releases

  • Daily review of your assigned client and their account debtors activity for risk assessment and reporting any unusual activity to the Operations Manager for further review

  • Monitoring of account debtors outstanding balances and performing credit checks as needed.

  • Notifying the Operations Manager of any potential overages in credit limit & obtaining approval for these overages or limit increases as needed

  • Conduct and maintain records and notes of invoice verifications on a daily basis as required

  • Open incoming mail and post payments for your assigned client with follow up on any discrepancies including short payments and credit memos

  • Answer phone calls providing assistance with any general problems or questions and forwarding the call to the appropriate account executive or operations manager for more detailed assistance when needed

  • Ensuring that images of all invoices, arc received and properly attached to each funding file and all information as outlined in the procedures manual is included on the invoice and any corresponding documentation such as PO's, etc. Are received and attached.

  • Obtaining complete contact information for all account debtors

  • Process wire transfers, as needed, if given the authority to do so

  • Daily processing of invoice funding files imported from the clients

  • E-mail daily reports to each of your assigned clients for any activity performed

  • Processing reserve releases for clients as approved, if given the authority to do so

  • Preparing the monthly reserve analysis including providing the client with reports, releasing any excess reserves or collecting any reserve deficit

  • Ensuring all confidential information is secured daily

  • Scanning the work daily to Operations through Branch Capture

  • Assist with other Account Executives clients daily processes when they are out of the office

  • Assistance with the daily balancing of the Flexent Accounts and General Ledger, if approved to do so

  • Understand your role as defined by the three lines of defense to maintain a compliance culture that includes risk management processes.

  • High School Diploma or equivalent experience/ education

  • Good understanding of computers and the internet

  • Excellent communication skills

  • Well focused and organized with the ability to pay close attention to detail

  • Proficient in typing and the ability to use an adding machine
