Job Description:
Job Responsibilities:
- Consulting on Complex HR Issues
Research and investigate complex HR issues; first point of contact for all employee relations; prepare reports and presentations for school leadership and faculty, as needed. Serve as human resources consultant to faculty and staff by providing advice and guidance related to human resources. Advise managers and employees on state and federal employment laws, collective bargaining agreements, university regulations, and personnel procedures. Serve on school-wide committees: Diversity and Inclusion; Safety; and Graduate Programs. Design and implement administration of HR policies and procedures for school. Manage cyclical HR and academic deadlines related to areas of responsibility and ensure HR Team transactions and communications are timed appropriately. Consult with school administration on HR areas.
Supervise HR Team who: 1) process all HR transactions for OPS/STAS/FWS, postdoc, adjunct, and GA employee classes, 2) process payroll and review leave, 3) process monthly HR reports, 4) request and amend J-1 visas, 5) process self-funded teaching payments, 6) administers school policies and procedures, 7) process scholarship award payments, 8) provide excellent customer service.
PersonnelProcessing
Consult with faculty on hiring needs. Process all job actions for faculty appointments including recruitment, onboarding and offboarding. Work with IFAS Immigration on H1-B visa processing; consult with EVS/UFIC on complex visa situations for non-H1-B visa holders as needed.
- Manage the Graduate Education Allocation Budget & Oversee Graduate Assistant Hiring and Processing
Manage the CALS GEA budget for FRC/GEM and FAS programs. Work closely with Faculty Graduate Coordinators on new and special commitments for graduate student funding. Report to CALS and Graduate School as needed. Interpret UF regulations, policies, and GAU as it relates to the hiring and funding of graduate students. Act as a consultant for faculty and staff on GA hiring and funding. Mange all GA LOE/LOA/evaluation processes administered by HR team. Develop new policies and procedures as needed to improve compliance and efficiencies. Review expenditures on funds and track commitments.
- Payroll Distributions
Work closely with Grants Team Manager, AST Director of Administrative Services and fiscal staff to input payroll distribution changes and retros as needed. Perform complex funding calculations and projections to ensure funds are spent appropriately. Prepare and process cross college distributions as needed. Check contingent accounts biweekly to make sure no distributions hit contingent accounts by mistake. Oversee distributions entered by HR Team. Spot check Final Pay list as third reviewer. Manage FY end process for payroll distributions.
- Miscellaneous
Act as backup to the Administrative Support Assistant III with Tenure and Promotion. Other job duties as assigned.
Expected Salary:
$50,000 - $55,000 annually; commensurate with education and experience.
Minimum Requirements:
Bachelor's degree in an appropriate area and two years of relevant experience; or an equivalent combination of education and experience.
Preferred Qualifications:
Holistic understanding of academic and HR processes at UF
Ability to create and maintain effective working relationships
