Robert Half Facilities Administrative Assistant in DENVER, Colorado

Description

Robert Half is looking for a contract to hire facilities administrative assistant for a local non profit in Downtown Denver. This position is Monday-Friday 8:30-5pm and will start on Wednesday, September 22nd upon completion of a background check. Please see below for further details!

  1. Performs general office duties (ordering office supplies for department, word processing, clerical duties, receptionist duties, filing, etc.) and maintains office in an orderly fashion.

  2. Maintains a centralized tracking system for facilities productivity, due dates, and quality improvement activities.

  3. Maintains a centralized tracking system for vehicles, parking and EcoPasses.

  4. Conducts quality improvement activities, including following up with Managers and above, as needed.

  5. Researches and coordinates information for special projects as assigned.

  6. Collaborates with HR team on organization of EcoPass program.

  7. Maintains well organized facility files

  8. Coordinates with Facilities maintenance staff and assists in bidding work and keeping records of Bids, Contracts, and work orders for Facilities.

  9. Schedules and/or coordinates maintenance of owned program vehicles and ensures registration and insurance documentation is current and available.

  10. Participates in all team meetings as needed.

  11. Assists division in correspondence.

  12. Schedules various meetings, takes and distributes meeting minutes and other materials as requested.

  13. Assists Director in job posting, interview scheduling, training schedules, and orientation.

  14. Maintains competency Microsoft Office (Word, Excel, PowerPoint, etc.).

  15. Responsible for coordination of compliance requirements and managing and prioritizing documents and correspondence in a timely and professional manner.

  16. Maintains a work environment that is marked by respect for others; that values inclusiveness and builds workforce diversity; and that fosters cooperation and teamwork.

  17. Performs other duties as assigned.

Requirements - Candidate must have substantial computer experience including word processing, spreadsheets and presentation software, as well as databases and customer database systems

  • Knowledge of navigating basic office equipment and protocols

  • Administrative Assistance experience desired

  • Skills in internet research

  • Excellent verbal, written, and social skills

  • At least 1 year of Administrative Assistant experience preferred
