$17.55 - $20.00 per hour commensurate with experience.
Job Description Summary:
Performs advanced administrative duties in support of Board of Regents' Office. Prepares minutes of the Board in final format.
Compose, type and proofread correspondence, Regent bios and other documentation for Board Office including transcription of Board and Committee meeting minutes for submittal in final format to the Executive Director.
Attend and assist with Board meetings, including taking accurate notes of actions and requests by Regents, distributes materials and directs guests.
Serve as office administrator for Board Office Laserfiche Smartfiles and records retention.
Oversee office file system.
Maintain and coordinate archival/retrieval of records including minutes, agenda items and back-up documentation.
Maintain indexing system of Board actions (minute orders).
Research and implement various projects as directed by Executive Director.
Prepare for Board meetings including review of agenda items, serve as back-up to assemble Board agenda books and confidential items, and compile executive summaries (Diligent).
Post meeting materials, minutes and regent bios to website.
Proof and oversee distribution of Board approved documents (resolutions, CMOs & certificates).
Assist Regents and/or special guests with commencement events including providing regalia and tickets requests.
Maintain Access databases for centers and institutes.
Other duties as assigned.
Education and Experience:
High school graduation or equivalent combination of education and experience.
Seven years of advanced administrative support experience.
Knowledge, Skills and Abilities:
Excellent verbal and written communication and organizational skills.
Advanced skills in word processing, spreadsheet, database and other software.
Ability to handle confidential and time sensitive issues.
Excellent knowledge of business correspondence formatting, grammar and punctuation.
Evening and weekend and work during commencements and special events.
Ability to multi-task and work cooperatively with others.
