Ohio CAT Facilities Coordinator - Ohio CAT - Cleveland in Broadview Heights, Ohio
Work closely with the Facilities Director to support all day-to-day functions of the Facilities department as well as assist with all project management throughout varying stages of the construction process..and.nbsp; Assist in preparing/reviewing project scopes and budgets, track and manage change order approval process, issue weekly project status updates to branch managers and senior management team, manage routine construction meeting schedules and minutes, participate in construction status meetings as necessary. Assist contractors with municipality and utility company interactions; filing notice of commencements, track Notice of Furnishings, manage utility accounts and utility service changes (set up new/disconnect old/move existing/etc.)..and.nbsp; Track project schedules and drawings to ensure latest versions are distributed, collaborate with all internal departments to obtain approvals on signage/finishes/furniture/etc. and confirm alignment with corporate standards and initiatives, source all owner supplied facilities items as they relate to construction projects, oversee timely and accurate documentation and delivery of final paperwork (O.and.amp;M manuals/closeout documentation/warranties/as-built drawings/etc.). The first Point of contact for Ohio CAT branches across all divisions seeking support and information from the facilities department. Provide support to the Facilities Director not limited to the following: PO and Work Order creation/dispatch, administration, invoice coding and processing, project status updates. Maintain construction project documentation including change orders, meeting minutes, specifications manuals/warranties, schedule updates, and invoice tracking..and.nbsp; Manage and maintain current work order system, (KACE). Screen outside calls and unexpected visitors at the corporate office to determine nature of their business..and.nbsp; Use appropriate judgement to personally handle requests or to engage responsible individuals in a professional and courteous manner..and.nbsp;.and.nbsp; Create and maintain records of service vendors used at each location..and.nbsp; Provide support to Facilities team not limited to the following: assist in scheduling service and preventative maintenance activities, sourcing parts, equipment, supplies, furniture, signage and lighting..and.nbsp; Participate in the development and management of all current and future facilities related processes as requested..and.nbsp; Other duties as assigned.COMPETENCIES LIST AND DESCRIBE: .and.nbsp;Must be able to effectively communicate (oral and written) with supervisors, Senior Management, employees, customers and vendors.
