The Rental Home Manager is responsible for managing the overall appearance, functionality, cleanliness and day-to-day operations for the Rental Home Program. The Rental Home Manager will work in conjunction with the housekeeping and engineering team to ensure that the residences are in excellent condition pre-arrival, throughout the stay and post-departure. The Rental Home Manager will act as the liaison with the homeowners and handle all communications, including, but is not limited to, rental agreements, invoicing, off season deep clean and punchlist items, HOA board activities, owner services, property management and the general care of the residences, grounds and all aspects of the property. In addition, fluency in all aspects of the rental management program from legal terms/parameters, design standards and the ongoing servicing of residences in the program is essential.

ESSENTIAL FUNCTIONS

Operations

  • Upholds all SPMC and Montage operational standards that align with the brand business strategy and execution

  • Works collaboratively to put sustainable work processes and systems in place to support the execution of the residential onsite operation

  • Manages all facilities within the Rental Program including attention to protecting the Member’s investment

  • Participation in all public space inspections with engineering and housekeeping; to ensure all commons areas and back of house areas are well maintained and preventative maintenance measures are established and implemented.

  • Educates all SPMC and Montage associates on property about SPMC Homes through regular communication and training

  • Provides input and planning on an ongoing basis to address business needs and maintains operational service standards

    Owner Services

  • Ensures all privacy and security matters are fulfilled for the homeowner including following protocol for contractors on property and inside the residence.

  • Educates owners on services provided (i.e. basic and ala carte such as preventative maintenance)

  • Manages the onboarding of new owners and move-in process

  • Coordinates all onsite outreach related to owner communications

  • Develops relationships and recognizes preferences for each owner based on needs and desires of that owner

  • Implements the highest standards for all aspects of life safety, loss prevention, unit owner identity, and privacy protection

  • Maintains complete knowledge of and complies with all Club and residence policies and procedures.

  • Maintains complete inventory of owners’ information (utility, phone, internet etc. account numbers)

  • Services residential owner’s requests; pre-arrival, in-residence needs and assists with reservations at other Montage hotels in the portfolio

    Rental Management Program

  • Ability to present and comply with the terms of the Rental Management Program

  • Works in coordination with the operations team as it relates to the inventory management and reporting

  • Works in coordination with the onsite operations teams for the check-in, check-out process of rental homes

    Financial

  • Financial accountability, house account billing and ala carte services

  • Reviews financial reporting and provides input in identifying budget variances and addresses accordingly

  • Implements invoice processing and approvals for all property billing

    Relationships

  • Key stakeholder relationships include: homeowners, development/Club ownership groups, local government agencies, residential sales/marketing team

QUALIFICATIONS

  • College Degree

  • Property Management License/Certification preferred

  • 5+ years previous managerial experience with luxury residential or luxury hotel industry preferred

  • Previous experience as an owner and stakeholder liaison preferred

  • Familiarization with rental management programs

  • Past experience managing a variety of outside vendors such as contractors and interior designers preferred

PHYSICAL REQUIREMENTS

Must be able to sit at a desk for at least 5 hours per day. Walking and standing are required the rest of the working day. Must be able to lift up to 15 lbs. occasionally. Requires grasping, writing, standing, sitting, walking, repetitive motions, listening and hearing ability and visual acuity.
